Refund & Cancellation Policy
How deposits, cancellation, rescheduling, and refunds work for our assessment engagements.
1. Overview
This Refund & Cancellation Policy explains how deposits, payments, cancellations, rescheduling, and refunds work for assessment engagements with HRUS Evaluations LLC. It applies alongside our Terms of Service and any signed Engagement Agreement. Because we deliver professional assessment work — evaluation reports, scorecards, readiness ratings, and prioritized recommendations — rather than physical goods, refunds depend on the type of engagement and how much work has been performed.
We want every client to be confident in working with us. We confirm pricing in writing before you commit, and if something isn’t right, contact us first at contact@hrusevaluations.com — most issues are resolved quickly. “Business days” means Monday through Friday, excluding U.S. federal holidays.
2. Engagement deposits
Most project and retainer engagements begin with a deposit set out in your Engagement Agreement, which reserves our capacity and allows us to begin scoping and preparatory work. Once we have begun that work:
- The deposit is applied against the fees for your engagement;
- The deposit is non-refundable to the extent of work already performed and non-cancellable costs already committed; and
- Any portion of the deposit that exceeds work performed and committed costs at the point of cancellation is refundable.
Standardized assessment packages paid online by card are charged when you purchase and are subject to the cancellation and milestone terms below.
3. Cancellation and rescheduling
You may cancel or reschedule an engagement or an individual scheduled assessment session by emailing us. Because assessment engagements often depend on reserved time, coordinated system access, and on-site or scheduled review windows, advance notice matters. The following applies unless your Engagement Agreement states otherwise:
- Before work begins. If you cancel before we have begun scoping or preparatory work, any amount paid is refunded in full, less any non-cancellable third-party costs already committed at your request.
- After work begins. If you cancel after work has begun, you remain responsible for fees for Services performed and for non-cancellable costs committed up to the cancellation date; the balance is refunded.
- Rescheduling assessment sessions. Scheduled assessment sessions, interviews, and on-site or remote review windows can be rescheduled where reasonably possible with at least ten (10) business days’ notice at no charge. Short-notice changes may incur a rescheduling fee to cover reserved and committed time, as set out in your Engagement Agreement.
- Retainers. Ongoing assessment retainers renew on the cycle stated in your Engagement Agreement and may be cancelled with the notice stated there. Fees for the current cycle, and for work performed in it, are non-refundable; you will not be billed for cycles after the notice period ends.
4. Milestones and delivered work
Fees for project engagements are typically billed by milestone or deliverable. Completed milestones and Deliverables that have been delivered to you and accepted (including evaluation reports, scorecards, readiness ratings, and prioritized recommendations) reflect work already performed and are non-refundable. Where a milestone is in progress at cancellation, you are charged for the work performed to that point on a reasonable, pro-rata basis.
Because our work is an independent assessment, a refund is not available simply because you disagree with a finding, score, or readiness rating, or because an outcome you hoped for did not occur. If you believe a Deliverable does not meet the professional-services warranty in our Terms of Service, tell us in writing within the period stated there and our remedy is to re-perform the affected work.
5. How to request a refund, reschedule, or cancel
Email contact@hrusevaluations.com with your name and organization, the engagement or invoice reference, the session date if relevant, and the reason for your request. We will acknowledge within two business days. Refunds and credits are calculated by reference to work performed, committed costs, and the timing windows in this policy and your Engagement Agreement.
6. Refund processing
We approve or decline refund requests within ten (10) business days of receiving the information needed to evaluate them. Once approved, the refund is issued to the original payment method: card refunds are processed through Stripe and typically appear within 5–10 business days, depending on your bank or card issuer. Refunds of invoiced amounts are issued by the original payment channel. We confirm the refund amount with you before it is processed.
7. Disputes and chargebacks
If you believe a charge is incorrect, please contact us before initiating a chargeback so we can investigate and make it right. Filing a chargeback for assessment work already delivered, or for amounts properly due under your Engagement Agreement and this policy, may be treated as a breach of our Terms. We keep clear records (Engagement Agreements, scopes, communications, and delivered Deliverables) and will respond to payment-processor disputes with that documentation.
